TERMS & CONDITIONS:
CONFIRMATION AND PAYMENT:
All applications to register for the Conference are subject to registrants making full payment. You will receive a confirmation email shortly after you complete the registration process with your registration details and your receipt if paid by credit card, or your invoice if selected. Please check your details carefully and notify us immediately if there are any inaccuracies or further details to add (for example, dietary requirements) by email to: lea@on-cue.co.nz. Full payment MUST be made by 15 July 2024. If payment is not received by this date, your registration may be cancelled at the discretion of the organising committee. If you register after 15 July 2024 full payment MUST be made at the time of registration by credit card.
Please note that the conference fee does not include any travel or accommodation expenses to attend which you must arrange independently. It is recommended that you arrange travel and medical insurance and ensure the policy covers cancellation of your attendance at the Conference, travel expenses and medical expenses, including any repatriation expenses, and any other Conference-related losses such as injury, damage to property or persons occurring during the Conference.
CONFERENCE CANCELLATION AND REFUND POLICY:
We understand that circumstances can change. At any point prior to the conference, you are welcome to contact us in writing to nominate a substitute delegate at no extra charge (email lea@on-cue.co.nz). An administration fee of $100 will be charged on all cancellations prior to 1 July 2024. Thereafter refunds will be at the discretion of the organising committee and will be processed after the conference. No refunds will be made for late arrival or early departure. Non-payment does not constitute cancellation.
WAITLIST:
If the event is full, you can still book online and you will be placed on a waiting list, if a place becomes available we will contact you.
CONFERENCE IDS:
Conference-issued name badges and lanyards must be worn while attending the Conference. If you fail to wear your conference name badge and lanyard during the Conference activities, our representatives may refuse to admit you or remove you from the Conference.
AUDIO AND VIDEO RECORDING:
Audio or video recording of all or any part of the Conference without express permission from the Meat Industry Association of New Zealand (MIA) is not permitted. Any person found recording without permission will be removed from the Conference.
PHOTOGRAPHY:
Photographs will be taken throughout the Conference. If you attend the Conference you may appear in these photographs. You agree that MIA may use any such photographs for MIA marketing, promotional or other business purposes, such as MIA’s communication channels including social media pages.
ADMITTANCE OR EXPULSION:
We reserve the right, in our sole discretion and without any obligation to refund the Conference fee, to refuse admittance to or remove from the Conference anyone that we determine is behaving in a manner that could be disruptive to the Conference, the presenters or any other attendee, or whose actions are deemed to have brought the image or reputation of MIA or the Conference into disrepute. This may include posts on social media.
PRESENTERS:
It may be necessary for reasons beyond our reasonable control to alter the advertised content or to add, replace or substitute advertised presenters. We reserve the right to do this at any time without any obligation or liability to refund any part of the Conference fee.
PRESENTER VIEWS:
The views or opinions expressed by any Conference attendee, presenter, speaker, exhibitor or sponsor are not necessarily those of MIA. All-Conference attendees, presenters, speakers, exhibitors and sponsors are solely responsible for the content of any and all presentations, advertising and online content.
CANCELLATION, POSTPONEMENT OR CHANGE IN FORMAT OF CONFERENCE:
Force Majeure: MIA shall not be responsible for any delay or failure in the performance of its obligations in connection with the Conference to the extent such delay or failure is caused by events beyond its reasonable control, such as fire, flood, industrial disturbances, government orders, acts of God, acts of terrorism, the availability of the venue or other similar causes which do not arise from any fault on the part of MIA or its subcontractors. If any such events occur, MIA may postpone or cancel the Conference by notice to all attendees. In the event of cancellation, MIA will provide a refund of the Conference fee paid by attendees, less any expenses that need to be deducted for MIA’s unavoidable expenses which have already been incurred.
PLEASE NOTE:
By registering for the Conference, you acknowledge and accept the possibility of the Conference being moved to an online format and also accept that this will not be valid grounds for requesting a refund of your Conference fee or any other fees, expenses or losses which you may incur as a result of such change. Your registration will be valid for both formats of the Conference.
Notwithstanding any other term of this Agreement, you and MIA agree and acknowledge that cancellation of the Conference pursuant to a COVID Event will not constitute impossibility of performance or frustration of the agreement between us in connection with the Conference and that in such circumstances, the terms of this section will apply instead of Subpart 4 of the Contract and Commercial Law Act 2017.
In the event the Conference is cancelled or postponed by MIA for Force Majeure or COVID Event reasons, MIA shall not under any circumstances be liable to attendees for any damages, costs or losses incurred in connection with the Conference such as transportation costs, accommodation costs or any other forms of financial loss.
INSURANCE:
Delegates are encouraged to take out personal travel and medical insurance which includes loss or damage of personal possessions, including loss of registration and accommodation fees through cancellation.
By agreeing to these terms and conditions, you are acknowledging that a risk of exposure to Covid-19 exists in any public place where people are present. By attending the conference you and any guests voluntarily assume all risks related to exposure to Covid-19 and agree not to hold Rivers Group or conference organisers OnCue; or any of their affiliates, directors, officers, employees, agents, contractors or volunteers liable for any illness or injury.
PRIVACY STATEMENT:
Meat Industry Association of New Zealand (Incorporated) (MIA) and OnCue Conferences & Events Limited (OnCue) on behalf of MIA collect personal information (Personal Information) from you, which may include your:
• Name
• Position
• Contact information
• Employer’s details
• Image and voice
Collection of Personal Information is via the registration form and the Conference app. Photographs and videos will also be taken throughout the Conference and you may appear in these photographs and videos.
The Personal Information collected will be used and disclosed for purposes related to your attendance at the Conference including registering your attendance at social events, processing payments, producing name tags, and booking your accommodation (if you have requested OnCue to book your accommodation).
MIA may also use the Personal Information for sending its members information about membership matters, seeking feedback on the Conference, planning and research purposes, and other events. Photographs and videos taken at the Conference may be used for MIA marketing, promotional or other business purposes on the MIA website, in social media and in publications.
Conference app
The Conference app is provided by OnCue. The Conference app allows you to get the most out of your conference experience and features:
• The full Conference programme for sessions and speakers
• Bookmarks to plan out your day
• Venue details with maps
• Exhibitor directory
• Conference news and last-minute notices
Unless you opt out, your name and organisation will be included in the Conference app. You can choose to add more information like a photo, bio, social media handles and contact details to the Conference app, if you wish.
MIA and OnCue may disclose your name, position and employer’s details (Details) to Conference sponsors and exhibitors unless you have indicated on the registration form that you do not agree to that disclosure note that sponsors and exhibitors may ask you directly for personal information at the Conference. This collection is outside any collection of Personal Information by MIA or OnCue.
MIA and OnCue will not share your Details with any other third parties except as indicated in the registration form, where you have authorised that disclosure or it is otherwise permitted by law.
You have the right to request access to and correction of the Personal Information held about you. No fee will be charged for updating and correcting Personal Information.
