Privacy statement and terms and conditions
Registration and other Conference information is collected by OnCue Conferences & Events Limited (OnCue) on behalf of the New Zealand Arboricultural Association (NZ ARB). Collection of information is via the registration form and the Conference app. Photographs will also be taken throughout the Conference and you may appear in these photographs.
The personal information collected will be used for purposes related to your attendance at the Conference including registering your attendance at social events, processing payments, producing name tags, and booking your accommodation (if you have requested OnCue to book your accommodation).
NZ ARB may also use the information for sending its members information about membership matters, seeking feedback on the Conference and section issues, and for planning and research purposes. Photographs taken at the Conference may be used for NZ ARB marketing, promotional or other business purposes.
Conference app
The Conference app is provided by OnCue. The Conference app allows delegates to get the most out of their conference experience and features:
- The full Conference programme for sessions and speakers
- Bookmarks that delegates can use to plan out their day
- Venue details with maps
- Exhibitor directory
- Conference news and last-minute notices
Unless you opt out, your name and organisation will be included in the Conference app. Delegates using the Conference app can choose to add more information like a photo, bio, social media handles and contact details, if they wish.
If you request OnCue to organise your accommodation, your name and contact details will be disclosed to the relevant accommodation provider.
NZ ARB will disclose your name, position and organisation to Conference sponsors and exhibitors unless you have indicated on the registration form that you do not agree to that disclosure. Please note that sponsors and exhibitors may ask you directly for personal information at the Conference. This collection is outside any collection of information by NZ ARB.
NZ ARB will not share your details with any other third parties except as indicated in the registration form, where you have authorised that disclosure or it is otherwise permitted by law.
You have the right to request access to and correction of the personal information held about you. No fee will be charged for updating and correcting member information.
TERMS AND CONDITIONS
“New Zealand Arboricultural Association (NZ ARB)” or “We” or “Us” means NZ Arb 2024 Conference
“Conference” means the NZ Arb 2024 Conference to be held on 9 -11 October 2024 at the Aotea Centre, Auckland, NZ.
CONFIRMATION AND PAYMENT:
· You will receive a confirmation email with your details shortly after you’ve completed the registration process.
· Please check your details carefully and notify us immediately with any amendments or additional details you may have omitted.
· If you have paid by credit card, your receipt will be attached to the confirmation email.
· If you have requested an invoice, you will receive a receipt within 5 business days of payment.
Admission to the Conference will not be granted unless the Conference fee payment has been received in full.
Please note that the conference fee does not include any travel or accommodation expenses to attend which you must arrange independently. It is recommended that you arrange travel and medical insurance and ensure the policy covers cancellation of your attendance at the Conference, travel expenses and medical expenses, including any repatriation expenses, and any other Conference-related losses such as injury, damage to property or persons occurring during the Conference.
NZ Arb MEMBER REGISTRATION RATE:
The NZ ARB Member registration rate is available for current NZ ARB Members only. To be eligible for this rate, you must be an NZ ARB Financial Member of Life. If any delegate under your booking is registered at the NZ ARB Member registration rate when they are not an NZ ARB Member, we may invoice you an additional amount for each such delegate so that the total paid for their Conference registration is equal to the Non-Member registration rate. You must pay any such additional invoices within 10 business days after receiving the invoice, or prior to the start of the Conference if earlier.
CANCELLATION POLICY:
If your circumstances change and you can no longer attend the Conference or Dinner, you may cancel your Conference registration by providing email notice to: lea@on-cue.co.nz.
Our Conference registration fee and Dinner ticket refund policy is as follows:
· Cancellation 30 days or more before the Conference date: 50% refund of the Conference fee and/or Gala Dinner ticket
· Cancellation less than 30 days before the Conference date: no refund.
In the event that you cancel your Conference registration and/or Dinner ticket, we will provide the refund of the Conference fee and/or the Gala Dinner ticket to you (if any) within 30 days of receipt of your cancellation notice.
Please note that cancelling your Conference registration does not automatically cancel your accommodation and travel arrangements. You will be responsible for cancelling your travel and accommodation reservations and for any costs or losses which arise or are incurred as a result of the cancellations.
SUBSTITUTIONS:
Attendee substitutions are permitted without any fee or penalty. Substitutions must be notified in writing to: lea@on-cue.co.nz as soon as possible. Substitutions for events may not be possible, but please check with us.
